Financial Aid Officer

Job Description:

Collège Avalon, established in 1995, is part of a network of 7 colleges spanning 3 Canadian provinces and offering over 500+ programs. Our mission is to inspire students to pursue their dreams, empower them to shape their future, and prepare them for success. In order to better serve our growing local and international student population, we are looking to hire a Financial Aid Officer to join our dynamic Quebec City team of administrative and educational professionals.

 

Main Task:

1. Monitors and evaluates satisfactory academic progress of students.

  • Counsel students on consequences of early withdrawals/program changes and impacts to their student loans/grants.
  • Provides guidance and advice to students and parents on various financial aid programs and methods of payment.
  • Explain application procedures, administrative policies and student responsibilities.

2. Responsible for all international and domestic student files, record-keeping, payment processing and associated communications.

  • Maintain a high level of confidentiality and document security.
  • Maintain an excel spreadsheet of payments made, upcoming payments, and any changes to installment plans from contract amendments for all current students.
  • Ensure all student payment plans are up to date on the system.
  • Notify and follow up on overdue payments from students.
  • Ensure that all student files and supporting documents are complete and fully compliant with Ministry requirements.
  • Follow up with students regarding incomplete files or missing information.
  • Sign certificates, schedules and confirmations of enrollment.
  • Handle and report petty cash transactions on a daily basis, including but not limited to tuition payments, health insurance fees, exam fees, module re-take fees.
  • Submit monthly progress reports on all accounts receivables.
  • Answer student inquiries regarding invoices, payment plans, and other finance-related issues.
  • Allocate refunds, credit notes, and agent commission on the company’s database.

 

Other Tasks:

  • Represent the department on recruitment/orientation events.
  • Participate in all required meetings and events as assigned
  • Performs other duties as assigned.
  • Provide excellent customer service.

Qualifications:

  • Knowledge of a language other than the official languages is a plus.
  • Management Experience is a plus.
  • Experience in Management and/or finance an asset
  • Minimum 1-2 years of administrative experience in an educational setting.
  • University Degree in Management, Business, or Public Administration preferred.
