Job Description:
Lachine Truck and Trailer Repair specialize in the repair of heavy commercial vehicles, including trucks and semi-trailers. We are currently looking for an Administrative Assistant to join our growing team.
Main tasks
- Respond to phone, email and social media inquiries, and relay phone calls and messages as needed
- Schedule appointments and maintain appointment times for repairs
- Set up and maintain manual and computerized information filing systems, and perform data entry
- Collection of resumes for specific job postings and selection of candidates based on job posting requirements
- Arrange and schedule meetings with candidates and call references once interviews are complete
- Perform administrative tasks such as filing, typing, copying, binding, scanning, etc.
- Maintain stock inventory by checking stock to determine stock levels, anticipating needed supplies, placing and expediting stock orders, under the supervision of the Purchasing Manager
- Send invoices and cash receipts under the supervision of the purchasing manager
- Run errands and pick up office supplies and equipment
- Write letters and emails, photocopy and print documents on behalf of other colleagues
- Prepare, type, edit and proofread correspondence, invoices, and all related material
- Open and distribute incoming regular and electronic mail and other documents
- Maintenance of contact lists
Job requirements
- Proficiency in MS Office
- Solid organizational and planning skills
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Minimum High School degree, College Degree preferred
- 1-2 years of clerical experience
