Regulatory Compliance Specialist

$45.00 hourly

Job Description:

Driver Fleet Safety Limited is a leading fleet safety and compliance solutions provider operating across Canada. We specialize in Hours of Service (HOS) compliance, driver safety training, Motor Vehicle Record (MVR) checks, and telematics programs for commercial fleet operators. We are seeking a Regulatory Compliance Specialist to oversee compliance operations and records management at our Cambridge, ON location.

The successful candidate will be responsible for analyzing compliance requirements, maintaining regulatory standards, supervising staff, and ensuring all fleet safety documentation meets federal and provincial transportation standards.

Responsibilities:

  • Analyze and provide advice on the managerial methods and organization of the establishment
  • Conduct research to determine efficiency and effectiveness of managerial policies and programs
  • Conduct quality audits of compliance processes and fleet safety documentation
  • Develop quality management and quality assurance standards for fleet safety operations
  • Plan the re-organization of operations to improve compliance efficiency
  • Monitor and maintain Hours of Service (HOS) documentation in compliance with federal and provincial transportation regulations
  • Review and audit driver records to ensure regulatory compliance with Transport Canada requirements
  • Develop and implement compliance tracking systems for fleet safety programs
  • Ensure confidentiality and integrity of driver files, MVR records and safety documentation
  • Propose improvements to methods, systems and procedures
  • Ensure accuracy and completeness of regulatory documents in accordance with retention policies
  • Prepare compliance reports and summaries for management review
  • Coordinate with government agencies and external stakeholders on regulatory matters
  • Provide customer service to fleet operators and clients regarding compliance requirements
  • Supervise and evaluate staff performance on compliance deliverables
  • Train staff on regulatory compliance procedures and transportation safety requirements
  • Manage knowledge systems and organizational documentation

Requirements:

Education and Experience Requirements

  • A Bachelor's degree in business administration, commerce, or a related field is required; OR a secondary school diploma with 2-3 years of relevant experience in regulatory compliance, fleet safety, or transportation records management will be considered
  • Knowledge of Canadian transportation regulations, HOS compliance, and fleet safety documentation is required
  • Demonstrated skills in regulatory compliance, records integrity, and operational coordination are required

Required Skills and Technical Knowledge

  • Hours of Service (HOS) compliance and Transport Canada regulatory frameworks
  • Compliance tracking and reporting tools
  • Records integrity and documentation control systems
  • Microsoft Office Suite: advanced proficiency in Excel, Word and Outlook
  • Fleet safety program administration and driver records management
  • Standard operating procedure development and implementation
  • Project coordination and deadline management

Skills and Competencies

  • Strong understanding of regulatory compliance in transportation and fleet safety environments
  • Ability to manage and coordinate compliance operations
  • Experience supervising staff and providing compliance training
  • Strong organizational, analytical and problem-solving skills
  • Effective communication and collaboration with internal and external stakeholders
  • Ability to handle confidential information with discretion and accuracy
